Estimating Coordinator

 

Position Overview

We are seeking a detail-oriented and highly organized Estimating Coordinator to support our estimating team throughout the preconstruction and bidding process. This role plays a critical administrative function, ensuring strong subcontractor engagement and bid coverage across all trades. The Estimating Coordinator will work under the direction of the Estimators and is responsible for outreach, bid tracking, and coordination efforts that drive accurate and competitive project estimates.

 

Key Responsibilities

  • Contact subcontractors and vendors to solicit bids for upcoming projects, with a strong emphasis on building participation and coverage across all required trades
  • Maintain and update subcontractor and supplier databases, including contact information and trade classifications
  • Assist in distributing bid invitations, drawings, specifications, and addenda to subcontractors
  • Track subcontractor participation, follow up on outstanding bids, and maintain bid status logs
  • Coordinate and manage pre-bid communication, including answering basic inquiries and directing technical questions to estimators
  • Support the preparation of bid packages, scope sheets, and documentation
  • Organize and maintain digital project files, plans, and bid documents
  • Assist estimators with bid day activities, including collecting and organizing incoming pricing
  • Help ensure all required bids are received and properly documented prior to submission deadlines
  • Perform data entry and maintain estimating logs, reports, and historical records
  • Assist in scheduling pre-bid meetings and site visits
  • Collaborate with estimators to identify gaps in subcontractor coverage and proactively source new trade partners
  • Provide general administrative support to the estimating team
  • All other duties as assigned

 

Required Qualifications

  • High School diploma or equivalent is required.
  • 1–3 years of administrative or construction-related experience preferred
  • Experience in construction, subcontractor coordination, or bid administration is a plus
  • Strong communication skills, with confidence making high-volume outbound calls
  • Excellent organizational and time management abilities
  • High attention to detail and accuracy in data tracking
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Familiarity with construction software (Procore, Bluebeam, PlanSwift, or similar) is a plus
  • Ability to manage multiple deadlines in a fast-paced environment
  • Team-oriented mindset with the ability to take direction and support multiple estimators
